Payment Policy

Payment Terms: * To secure services for Client's scheduled event, the initial payment for services is due three (3) days after Client schedules an event with AFE. * If paying by credit card or debit card, initial payment is due when reservation is made. * If the reservation agreement is signed fewer than thirty (30) days prior to Client's event, full payment is due when reservation is made.

Orders $500 or less * Orders $500 or less must be PAID IN FULL when reservation is made by credit card, or within three (3) days by check or money order. * AFE has the discretion to accept a 50% non-refundable pre-payment on orders less than $500. * If the reservation agreement is signed fewer than thirty (30) days prior to Client's event, full payment is due when reservation is made.

Orders more than $500 * For Orders more than $500, a 50% deposit is due when reservation is made. * Balance is due nine (9) days prior to Client's event. * If the reservation agreement is signed fewer than thirty (30) days prior to Client's event, full payment is due when reservation is made.
Refund Policy: All pre-payments are considered booking fees and/or non-refundable retainers. Therefore, all payments made to AFE are non-refundable under any circumstance. At its sole discretion, AFE may apply a booking fee to a future event. To guard against fraud, chargebacks, and returned checks, AFE reserves the right to provide all details about an event to the City Attorney's office for fraud investigation and possible prosecution. If a chargeback or a returned check occurs, the Client will be held 100% responsible, and payment in full will be due immediately upon demand by AFE.

All Sales/Rentals are final, no refunds.

Delivery Policy

AFE produces more than 2,200 events each year. Our standard practices help ensure timely, trouble-free deliveries. We are centrally located in Columbus, Ohio, and we serve Clients with events throughout Ohio and the surrounding states. Please consider the following standard delivery policies, practices, and fees ONLY as a guide. They are subject to change, depending on your unique party needs. Please note that event start and end times are different from the times set for rental item delivery and retrieval. Your event location must be ready and accessible at the time of delivery. The space designated for AFE equipment must be suitable for safe set up and operation, pursuant to Ohio law. If a designated location is not satisfactory for the safe operation of rented equipment, AFE has the right to refuse to set up and/or leave that equipment. Free or Standard Delivery/Retrieval: * The fee for Free Delivery or Standard Delivery and Retrieval for most equipment orders over $200 to a Columbus, Ohio, address is free or starts at $45. * Live entertainment, supplies, tables, chairs, tents, and certain other items do not count toward the minimum order requirements for Free Standard Delivery/Retrieval. For a complete list of excluded items, please see AFE’s website or contact an AFE representative. * The night before your event, AFE will assign a 4-hour delivery window, between 7 a.m. and up to 30 minutes prior to the start time of your event. * At AFE’s discretion, delivery may be arranged the day/night before the event if held at a private residence, event facility, or secure location. * AFE must have access to the event location, with enough time to set up equipment completely and safely. If not, and if AFE works to accommodate the Client, AFE will not be held responsible for an event’s late start. * For certain types of events, AFE has the discretion to add a set up charge if additional staff is required to complete a safe set up in time for the event’s scheduled start. * Under this Free Standard Delivery option, AFE might not retrieve equipment immediately after your event ends. * Retrieval times will occur at the end of the Client’s rental period or in the following hours, sometimes the next day. * A Client is responsible for rented equipment until it is retrieved by AFE or returned to Will Call. Specialty Delivery/Retrieval: * Specialty Delivery/Retrieval fees start at $99. * AFE will assign a 1-hour window for a Specialty Delivery and the same for a Specialty Retrieval. * AFE must have access to the event location with enough time to set up equipment completely and safely. If not, AFE will not be held responsible for an event’s late start. * For certain situations, AFE has the discretion to add a set up charge if additional staff is required to complete a set up in time for the event’s scheduled start. V.I.P. Delivery/Retrieval: * V.I.P. Delivery/Retrieval fees start at $175. * AFE will assign a 15-minute window for V.I.P. Delivery and the same for a V.I.P. Retrieval. * AFE must have access to the event location with enough time to set up equipment completely and safely. If not, AFE will not be held responsible for an event’s late start. * For certain situations, AFE has the discretion to add a set up charge if additional staff is required to complete a set up in time for the event’s scheduled start. Fees for Non-Standard Deliveries/Retrievals: * AFE may apply additional fees for deliveries/retrievals to indoor events, sites with difficult access, during late night or early hours, and for certain types of equipment that must be transported by trailer or box truck. Delivery/Retrieval Times: * AFE’s normal delivery and retrieval times are between 9 a.m. and 8 p.m. * Events and parties that require set up or tear down outside of AFE’s normal delivery/retrieval hours are subject to an early morning or late night pick up charge. * If your event allows for a day-prior delivery/set up and a day-after retrieval, you may avoid those additional off-time (early morning or late night) charges. Equipment Rental Distance Fees: A distance fee may be added for deliveries outside of Columbus if they are more than 15 miles from our warehouse location at 1250 Memory Lane North, Columbus, OH, 43209. Our reservation system calculates the mileage from address to address. Most cities connecting to Columbus will not trigger a distance fee: Bexley, Cliftonville, Gahanna, German Village, Grandview, Grove City, Groveport, Hilliard, New Albany, Old Town East, Parts of Dublin, Parts of Lewis Center, Parts of Obetz, Parts of Polaris, Parts of Powell, Parts of Westerville, Pickerington, Reynoldsburg, Short North, Whitehall Distance Fees are added to the rental order’s delivery fees.
Typical distance fees for deliveries to the following cities include the following: $25-50 for Blacklick, Canal Winchester, Galloway, Johnstown, Lancaster, Pataskala, parts of Dublin, parts of Lewis Center, parts of Polaris, parts of Powell, parts of Westerville, West Jefferson $50-100 for Buckeye Lake, Chillicothe, Circleville, Delaware, Granville, Heath, London, Marysville, Millersport, Newark, Plain City, Springfield, Sunbury $100-250 for Dayton, Mansfield, Marion, Zanesville $150-400 for Akron area, Cincinnati area $400-800 for Cleveland, Toledo areas

Rescheduling Policy (Without Weather Waiver)

All pre-payments are considered booking fees and/or non-refundable retainers. Therefore, all payments made to AFE are non-refundable under any circumstance. At its sole discretion, AFE may apply a booking fee to a future event.

For reservations without the prepaid weather waiver, AFE may allow one "rain date" for an outside event if there is a forecast of extreme rain, snow, or wind at that event's scheduled time and place AND if the retained equipment and/or entertainer(s) cannot be moved to an indoor location. AFE may, at its sole discretion, allow the client to switch items to accommodate the weather, i.e., substitute smaller items that can be moved inside and/or better suited for safe use in the current weather situation. No credits or refunds will be given for price differences. If the rental cost of substituted items is greater than the cost of those originally rented, the difference will be charged. AFE may limit the number of substituted items.

Holiday or seasonally themed rental equipment may NOT be rescheduled under this “rain date” rescheduling provision.

AFE may decline a client’s request for a “rain date” rescheduling of any equipment if that equipment was originally scheduled for rental on or around a holiday.

If the party host or guest of honor becomes hospitalized or extremely ill, AFE has the discretion to apply the "rain date" rescheduling policy (described above) at the client's request, contingent upon the client providing proof of the host/guest of honor's illness or hospitalization.

The decision to allow a "rain date" rescheduling of an event is made solely at AFE's discretion and can only be considered if the following conditions are met:

1. The balance on the client's AFE account is paid in full at the time the "rain date" is determined.

2. AFE received timely and proper written notice of event cancellation due to weather conditions or extreme illness/hospitalization of host/guest.

3. AFE has items available on the date and time of the new/rescheduled event.

4. The future event does not take place on or around a holiday.

Restrictions on "rain date" rescheduling:

• If the scheduled event falls on a Saturday, Sunday, or Monday, written notice by the renter must be received no later than NOON on Friday prior to the event date.

• If 72 hour written notice: the renter may reschedule an event up to 1 year with a 50% rescheduling fee, or up 30 days with a 30% rescheduling fee.

• If 48 hour written notice: the renter may reschedule an event up to 12 months with a 55% rescheduling fee or up to 30 days with a 45% rescheduling fee.

• If 24 hour written notice: the renter may reschedule an event up to 6 months with a 60% rescheduling fee or up to 30 days with a 50% rescheduling fee.

• On the Day of the Scheduled Event or Already Delivered Orders: no rescheduling option will be available.

Time of notice will be calculated from the scheduled delivery time, not the actual event time.

Verbal notice left on voicemail or texted messages must be received in time to prevent equipment and/or entertainer transport. AFE has sole discretion to determine if such a message was received in time.

Perishable items are not subject to the rescheduling policy; if requested for a new/rescheduled event, these perishable items must be purchased at the full rate.

If the client makes the decision to use or accept AFE rental items for use in extreme weather conditions, the client is still responsible for returning the equipment in the condition specified in the contract, and for the applicable cleaning fees. The client must comply with all state regulations and manufacturer's standards for use of that equipment.

• AFE may decline to set up equipment in unfavorable weather conditions and, in that event, AFE is not required to return any payment(s). See above provision regarding prepaid booking fees.

• If AFE sets up equipment for the client, AFE is not liable for negative outcomes if a client receives the equipment and/or chooses to use that equipment in unfavorable weather conditions. The client's use of equipment under those circumstances constitutes the client's acceptance of full responsibility for any negative outcomes to individuals or equipment.

• AFE may ask for an equipment deposit. If a client refuses to pay such deposit, AFE may cancel the rental(s) or services, and AFE is not required to return any payment(s).

• AFE may charge the credit card on file for any required equipment deposit or additional fees without notice to the client.

For corporate and school accounts with prior arrangements, we do accept a P.O. with a signed agreement.

Children's Privacy Our Services are intended for a general audience. Contract Terms
